What Happens If a Key Employee Is Unavailable Tomorrow?
Organizational operations often depend on employees who hold critical knowledge, stakeholder relationships, operational responsibilities, and decision-making authority. When those individuals go on vacation, take parental or medical leave, retire, or move into a new role, organizations are often surprised by how much work depends on them. This prompt analyzes an employee's meetings, communications, recurring responsibilities, operational activities, and stakeholder relationships to identify what would be impacted if that person became unavailable. Rather than focusing on task lists, it evaluates business functions, organizational dependencies, knowledge concentration, coverage gaps, and continuity risks.
The result is a practical vacation coverage, succession planning, and business continuity assessment built from actual Microsoft 365 activity.
What You'll Learn
Which business functions depend on a specific individual
What work would stop or be delayed during an absence
Which clients, vendors, and stakeholders rely on that person
Where knowledge transfer should occurRecommended backup resources and coverage plans
Organizational risks before vacation, leave, retirement, or succession
What it does
My Email Brief is a personal agent for busy executives who are copied on more email than they can read. Each morning it reviews your Inbox and tells you which emails actually need you, which ones your team is already handling, and what you can safely skip.
Instead of treating every email as important, it applies an Attention Filter:
1. To or CC? If you are only copied, it assumes the email is for your awareness, unless there is a clear sign you are needed.
2. Are you needed? It looks for clear signals: you are asked by name, a direct question, an approval or decision, a contract or pricing, a client asking for you, an escalation, money or legal risk, something to sign, or a deadline that depends on you.
3. Whole-thread check: It reads the whole conversation, not just the latest reply, so a client question addressed to you doesn't get buried under team replies.
4. Already handled? If a team member owns the issue, it lists it under "Being Handled" and names who owns it.
5. When in doubt, show it: it is better to show one extra item than to miss a client issue.
What you get
• Needs My Attention: who it's from, why it needs you (quoting the key words), what they need, and a suggested next step.
• Being Handled: one line per thread, with who owns it.
• Good to Know: short updates that need no action.
• Filtered Out: a count of newsletters, notifications, invites and out-of-office replies that were skipped.
It never sends, replies to, moves or deletes email. When areply would help, it offers a short draft for you to review. It reads only thesigned-in user's own mailbox.
How to create it (about 5 minutes, no technical skills needed)
You build this agent with Agent Builder in Microsoft 365Copilot. You don't need Copilot Studio. Agent Builder requires a Microsoft365 Copilot license, and features can vary by license.
1. Open the Microsoft 365 Copilot app (in your browser, Teams or Outlook).
2. In the left pane, under Agents, select New agent.
3. Switch to the Configure tab.
4. Fill in the fields:
o Name: My Email Brief
o Description: Reviews my Inbox and shows only the emails that need my attention, what my team is handling, and what I can skip.
o Instructions: Copy the full instructions below and paste them in. They are under the 8,000-character limit.
5. Starter prompts: The two suggested prompts are at the bottom of the instructions. Copy them into the Starter prompts section on the Configure tab, so they appear as clickable buttons when you open the agent:
1. Test it in the panel on the right by selecting What's today?
2. Select Create. The agent is private to you by default. You can share it with colleagues later.
3. Each morning, open the agent from the left pane or @mention it in Copilot, and select a starter prompt.
Good to know
o The agent finds the most relevant emails using Copilot's built-in search. It is not guaranteed to review every single email, so glance at your Focused inbox for anything else.
o For best results, add one line under "Who I Am" in the instructions with your name, role and key clients. This helps the filter recognize when you are asked by name or when a key client needs you.
What it does
My Calendar Brief is a personal agent for busy executiveswhose calendars are full of meetings where they may not be needed. Each morningit reviews your calendar and tells you which meetings truly need you, how toprepare for them, and which ones you could delegate, skip or decline.
Instead of treating every invite as important, it applies a Meeting Filter:
1. What is your role? If you are an optional attendee or part of a large group invite, it assumes the meeting is optional, unless there is a clear sign you are needed.
2. Are you needed? It looks for clear signals: a client or partner meeting, a decision or approval, you presenting or named in the agenda, an escalation, a revenue opportunity, a small meeting that would stall without you, or a one-on-one.
3. Could someone else cover it? If a team member owns the topic, it suggests who could attend instead.Calendar problems: It flags conflicts, back-to-back meetings, missing agendas, missing links and unanswered invitations.
4. When in doubt, show it: it is better to show one extra meeting than to miss an important one.
What you get
• Day at a Glance: number of meetings, total meeting hours and your largest free block.
• Needs Me: each important meeting with who's attending, why it needs you, and what to prepare.
• Could Delegate or Skip: meetings that may not need you, and who could cover them.
• Pending Invitations: unanswered invites, with a suggested response.
• Calendar Issues: conflicts and other problems.
• Free Time: open blocks for focus work.
It never accepts, declines, cancels or changes meetings. When a response would help, it offers a short draft for you to review. It readsonly the signed-in user's own calendar, and it shows private appointments onlyas "Private appointment".
